The Reading Room is available for hire:

WEBINARS

We are intending to offer a new service that will include full technical facilities for hosting webinars and group zoom sessions including

  • Multi-Camera coverage of the Reading Room with remote control.
  • Conference style Audio recording equipment
  • A super-large monitor screen 
  • A dedicated laptop to manage online interaction.

SUPERFAST INTERNET CONNECTION NOW AT THE LIBRARY
We now have a superfast broadband connection with 60Mbps Download and 20 Mbps Upload available. This means that when you hire our Reading Room facilities you can broadcast HD video live on the internet. If you are considering running an online or mixed live and online course, workshop or a meeting then we can offer the best technical facilities in the unique and impressive environment of our wonderful reading room from just £15 for 4 hours!

 We have comfortable seating for up to 25 people.

We have 24 new very comfortable chairs.  With our new furnishing offering greater flexibility we can now offer a wide range of comfortable options for a variety of events from meetings around one or two tables to presentations with seating for 30+. Or the whole area can be cleared of chairs and tables and bookcases for standing events.

Audio Visual Media can be available with any layout but may reduce maximum seating for all except Normal Library, Symposium and Cinema layouts. The room will be set up for your needs. PLEASE DO NOT MOVE FURNITURE YOURSELF. We cannot accept liability for any injury or damage caused if you do. Please instead call the room hire manager for assistance.
Only available with the £25 Audio Visual Media booking type.
Simple Session set up can be: an empty room (max 25 people); _ symposium without equipment (max 20 chairs); _ a large circle of chairs (max 16); _ chairs around an extended table (max 10); _ normal library/small meeting (max 6 chairs). —— All day sessions can always include Board & Projector or Audio Visual Media. —– For any 4 hour session with the use of white board or projector choose Symposium. —— For any 4 hour session setup type including the use of our TV; DVD; Blue Ray; Laptop; Internet conference; Camera & Speakers, please select the Audio Visual Media session.

Please read in detail – important information
1. Bookings are regarded as provisional until we receive a completed Booking Form and the Terms and conditions have been read and signed by the hiring person/event runner, as well as a non-refundable deposit of 50% of the total hire charge. The outstanding balance must be paid to The Library of Avalon before the event. If the booking is cancelled within two days of the event date, we shall require full room hire costs. The minimum hire fee is £15. An administration fee of £5.00 may be incurred for each amendment to the booking (such as date and set up requirements) after the deposit has been taken. It is expected that the individual named representative will be present at all times and on all occasions of the hiring. If someone else is deputized to run the event then they must also agree to and sign for the terms and conditions as stated here and provide their contact details to the LoA before running an event. _______________________________________________________ 2. Smoking is prohibited anywhere within the building and in the doorway. Premises are not licensed for consumption of alcohol. No food may be served and consumed on the premises. _______________________________________________________ 3. Dancing or heavy movement of any kind is not permitted in any of the rooms. _______________________________________________________ 4. You should inform LoA management in advance and request permission if you anticipate the playing or performing of music or other loud sounds. _______________________________________________________ 5. No candles, incense or naked flame of any kind may be used inside the premises at any time. _______________________________________________________ 6. No items may be attached to the walls, bookcases or other furniture. No drawing pins or nails or strong/permanent adhesives may be used on the doors or woodwork. _______________________________________________________ 7. Mobile bookcases must NOT be moved without supervision from a trained LoA volunteer (Crushing Risk). If you need any furniture moved call Richard on 07792584968 for immediate assistance. No books or other items may be taken from the desk or bookcases without permission. _______________________________________________________ 8. It is the responsibility of the representative to ensure that the reading room is left in the same condition as it was found and that; all the lights are switched off all heaters and electrical equipment turned off/back to its original setting all belongings and rubbish removed on vacating the room. _______________________________________________________ 9. It is the responsibility of the representative to ensure that the door is shut and locked and that the flood gate is properly closed and bolted to ensure it is watertight. _______________________________________________________ 10. No electrical equipment belonging to the LoA, other than lights and heaters, may be switched on or used without prior permission and instruction. (Television, DVD Blue ray player, computer, kettle, de-humidifier, etc.) _______________________________________________________ 11. The representative is responsible for any loss or damage resulting from room hire and will be liable for any costs incurred. The representative has a duty to report any damages occurred during the hire period. Failure to do so will be seen as admission of responsibility and the Hiring person / Organisation will be liable for any costs incurred as a result. _______________________________________________________ 12. The Courtyard is open between 9.00am and 9.30pm. The Reading Room must not be occupied outside these hours without prior agreement. If hiring later in the evening, or entering the Courtyard earlier in the morning (by prior agreement) please ensure that you have been given the gate entrance code & have the phone number of the caretaker to hand. _______________________________________________________ 13. Overnight sleeping is not permitted in the library. _______________________________________________________ 14. The representative is responsible for ensuring that participants are fully aware of any relevant conditions. _______________________________________________________ 15. Keys should be collected from the library on the day, and returned to the library the following day. (The library opens Monday to Saturday 1.30pm to 4.30pm) _______________________________________________________ 16. When advertising your event please do not use The Library of Avalon logo on your leaflet or poster without prior permission, as it is important to differentiate between Library events and private ones. You may always advertise the venue as The Library of Avalon Reading Room, Rear Courtyard, Glastonbury Experience Courtyard. In general we do not arrange for privately run events in the newspaper though you are welcome to organise this yourself. We are happy to display A5 and A4 posters on our internal noticeboard if we have the space. You may leave us a poster but we cannot guarantee this will be displayed.
EMERGENCY INFORMATION
In the event of a fire or flood follow normal procedure to evacuate the building and call 999 to alert the emergency services. The Address is Rear courtyard, The Glastonbury Experience, 2-4 High Street, Glastonbury BA6 9DU. Please also immediately alert the duty trustee and events coordinator on the numbers below. In the instance of electrical failure or any non-life-threatening emergency or problem relating to the library during the hire period please call the events coordinator and or the Courtyard Gatekeeper. Private study sessions with access to our collection are also available but require a librarian to be present. Please email Ishtara at loachair@gmail.com or on 07853530838 to enquire about this as well as visually access sessions; where a volunteer can be available to read books aloud, creating research opportunity for those with visual impairment or focus issues.

The Normal Library layout is ideal for small meetings & study groups.

Our Small Meeting setup is ideal for holding or attending digital conferences and meetings with our Audio Visual Media equipment.

Our Internet Meeting setup allows people to join you digitally with our with our State of the Art Super Fast Broadband, 4k 180 degree Smart Camera and Screen and Conference audio system. Sit up to 7 people comfortably at the table with as many people as you would like to invite to your online call, stream or host an internet conference.

The Large Meeting setup seats up to 10 people in comfort at our extendable table. If using laptops allow more space per chair at table

Circle Group is a layout perfect for poetry groups or any discussion sessions such as group therapy and has been a real HIT with the Shamanic Drumming group! This setup allows for up to 18 people to sit in a circle in comfort. The movable bookcases also allows for more intimate spaces, including two smaller circles to be created too.

The Symposium setup is here shown with projector & Audio Visual Media. This layout, ideal for presentations can seat 20 people at your event. Whether you simply wish to talk or also use visual aids such as a white board, our slideshow projector, or our digital screen, this setup has been tried and tested with much loved events at our library.

The Cinema setup provides seating for 12 in comfort with excellent view of the large HD screen. Ideal for film screenings as well as attending live broadcasts or internet conferences with our Audio Visual Media equipment.

Or simply hire our space as it is during opening hours for a quiet private study space. If you would like to browse our collection during this time do inform us so that we can arrange for a librarian to be available.
